1. Introduction and Acceptance of Terms
Before registering your school on Smart School Manager, please read and understand these Terms and Conditions carefully. By registering your school and accepting these terms, your school agrees to comply with the conditions outlined in this document. These terms form the basis of the service agreement between your school and Smart Technology & Multimedia Solutions (STAMS), the owners and operators of the platform.
2. Platform Access and Availability
Smart School Manager is a web-based school management application hosted on an online server and accessed through an internet connection. Schools are responsible for ensuring they have suitable internet access and compatible devices to use the platform.
3. School Registration and Account Activation
To enrol your school, complete the registration process through https://checkmyresult.com.ng/.
After registration, the customer support team will contact your school to verify the information provided. Upon successful verification, STAMS will create your school's profile and issue the necessary login credentials.
4. Student Registration and Subscription Payments
Each participating school must register its students on the platform to enable accurate assessment of subscription fees. Following registration, the accounts team will prepare and issue an invoice based on the applicable subscription charges. Payments must be made through the designated payment channels.
4.1. Subscription Structure
Subscription fees are calculated on a per-student, per-term basis, in accordance with the applicable pricing structure.
4.2. Payment Deadline
Schools are expected to settle their subscription invoices within the first six (6) weeks of each academic term, unless an alternative arrangement has been expressly approved by STAMS.
4.3. Non-Payment
Where a school fails to pay its subscription fees within the stipulated period, STAMS reserves the right to suspend or deactivate the school's access until outstanding payments are settled, subject to any applicable agreement.
4.4. Payment Options
Schools may choose to pay per academic term or per academic session, subject to available payment options and applicable terms.
5. School Data and Information
School records and information entered into the platform are stored on its hosting infrastructure and made accessible to authorised school users through their designated accounts. Each school is responsible for ensuring that the information it enters is accurate, complete, lawful, and properly authorised for processing.
6. Data Security and Backup
STAMS will implement reasonable technical and organisational measures to protect school data against unauthorised access, loss, alteration, or damage. Periodic database backups will also be maintained to support data recovery in the event of server failure or other technical incidents.
However, no online system can guarantee absolute security or uninterrupted availability. Schools are encouraged to maintain their own backups of important records.
7. School Backup Responsibilities
Each school is encouraged to generate and download available database backups or data exports through the platform, where this functionality is provided, and retain them securely. Schools are responsible for protecting downloaded backups and restricting access to authorised personnel.
8. Software Updates, Upgrades, and Maintenance
STAMS will provide routine software updates, security improvements, bug fixes, and general platform enhancements at no additional cost where these fall within the standard subscription service.
Specialised modifications, custom features, integrations, or upgrades requested by a school may attract additional charges depending on their scope and complexity. Such charges will be communicated and agreed upon before work begins.
The platform may occasionally require maintenance or experience temporary interruptions. Where reasonably practicable, STAMS will take steps to minimise disruption.
9. Technical Support and Customer Service
STAMS will provide technical support for platform-related challenges, account access issues, and other operational difficulties. Schools should report issues through designated support channels and provide sufficient information to assist investigation and resolution. Response times may vary according to the nature and complexity of each issue.
10. Voluntary Termination by a School
A school may discontinue its use of Smart School Manager if it is dissatisfied with the service or chooses an alternative solution. The school should formally notify STAMS and settle outstanding financial obligations in accordance with the applicable agreement.
Following termination, data access, export, retention, and deletion will be handled in accordance with applicable data protection requirements and the platform's data retention policy.
11. Suspension or Termination by STAMS
STAMS reserves the right to suspend or terminate a school's access where the school:
- Materially breaches these Terms and Conditions or another applicable service agreement.
- Fails to settle subscription fees or agreed charges after the applicable deadline and any required notice.
- Uses the platform for unlawful activities, fraud, unauthorised access, or activities that compromise platform security or integrity.
- Engages in conduct that threatens the security, availability, or proper operation of the service.
Where reasonably practicable, STAMS will notify the school of the reason and provide an opportunity to remedy the breach before taking action. Immediate suspension may be necessary to protect the platform, its users, or school data, or to comply with applicable law.
12. Amendments to These Terms
STAMS may revise these Terms and Conditions to reflect changes in the platform, business operations, security requirements, or applicable laws. Material changes will be communicated through appropriate channels. Continued use of the platform following revised terms will be subject to applicable acceptance requirements and laws.
